GoHighLevel CRM Guide: Build, Automate & Scale Your System

July 09, 2026•8 min read

Many business owners, agencies, and consultants choose GoHighLevel (GHL) to bring all their operations together. The platform helps you avoid using many separate tools by consolidating your CRM, landing pages, scheduling, and automation into one place.

But when you log in for the first time, it can feel overwhelming. There are many tools, from pipelines and workflow builders to email and SMS settings, so it’s easy to get confused during setup.

To succeed with GHL, start by setting up your basics, then build your communication flows, and finally add automation. This guide will walk you through each step to help you avoid common mistakes and build a strong lead-generation system.

Phase 1: Understanding the Admin Architecture

Before you import contacts or start ad campaigns, it’s important to understand how GoHighLevel is set up. The platform uses a two-level structure:

+-------------------------------------------------------------+

| AGENCY DASHBOARD |

| - High-level administrative controls |

| - SaaS Mode billing & client account provisioning |

+-------------------------------------------------------------+

|

v

+-------------------------------------------------------------+

| SUB-ACCOUNTS |

| - Individual business workspaces (where the daily work lives) |

| - Contacts, Pipelines, Calendars, Funnels, & Automations |

+-------------------------------------------------------------+

The Agency Dashboard

This is the main control area. If you run an agency or work with clients, you’ll use the Agency Dashboard to create new client workspaces, set up billing plans, and keep track of how the system is being used.

Sub-Accounts (Locations)

The sub-account is where the day-to-day business operations occur. The sub-account is where you handle daily business tasks. Whether you’re managing your own company or a client’s, all your contacts, landing pages, calendars, pipelines, and automations are kept in a sub-account. Don’t run your daily business from the Agency Admin view; always work inside a sub-account. Once land in primary inboxes and your automated text messages are successfully delivered, you must complete three essential setup tasks:

1. Business Profile Configuration

Inside your sub-account, navigate tIn your sub-account, go to Settings and then Business Profile. Make sure your company name, address, time zone, and business hours are correct. GHL’s scheduling and automation features use this information.kipping domain authentication is the most common reason emails end up in the spam folder.

  • Add a dedicated sending subdomain (e.g., mail.yourdomain.com) in your GHL email settings.

  • Add the SPF, DKIM, and DMARC records from GHL to your domain registrar, like GoDaddy or Cloudflare. This proves to email providers like Gmail and Outlook that you’re a verified sender.

3. Phone Integration & A2P 10DLC Compliance

Connect your phone service, like LC Phone or Twilio, to get a local or toll-free tracking number. If you want to send automated texts to leads in the US, complete the A2P 10DLC registration in GHL’s Trust Center. If you skip this, carriers may block your automated SMS messages.

Phase 3: Structuring Your CRM Database

A good marketing system needs a clean, organized database. Set up these parts before you start your campaigns to keep your contacts in order:

+--------------------------------------------------------------------------+

| DATABASE STRUCTURAL CHECKLIST |

+--------------------------------------------------------------------------+

| [ ] Custom Fields: Capture unique criteria (e.g., Budget, Location). |

| [ ] Contact Tags: Label lead types (e.g., "FB-Ad-Lead", "VIP-Client"). |

| [ ] Loss Reasons: Log why deals drop (e.g., "No Budget", "Timing"). |

| [ ] User Assignment: Define owner-routing rules for your team. |

+--------------------------------------------------------------------------+

Custom Fields vs. Custom Values

  • Custom Fields Custom Fields are details specific to each contact. Use them to collect information like a lead’s budget, business type, or main industry challenge.s are account-wide variables. If you reference a Custom Value (like a standard calendar booking link) across multiple email templates and funnels, updating it in your settings will apply the change across your entire sub-account.

Contact Tagging

Tags are flexible labels that help you group contacts. Use tags like Hot Lead, Past Client, or Webinar Registrant to sort your lists. Make sure your team uses the same naming style to keep things organized.

Importing Your Contacts

Once your fields anAfter you set up your fields and tags, go to Contacts and choose Import Contacts. Upload a clean CSV file of your database, match your columns to GHL’s fields, and add a tag like Import-07-2026 to label the batch.ng Up Your Visual Sales Pipeline

A visual sales pipeline shows you where each deal is in your sales process. To set one up, go to Opportunities, then Pipelines, and click Create New Pipeline.

+----------+ +------------+ +-------------+ +----------+

| New Lead | ---> | Contacted | ---> | Demo Booked | ---> | Won/Lost |

+----------+ +------------+ +-------------+ +----------+

A good sales pipeline for most service businesses has these stages:

  1. New Lead: Every inbound opt-in or form submission lands here.

  2. Contacted: Outbound outreach has begun, but no booking is confirmed yet.

  3. Appointment Booked: The lead has scheduled a specific consultation slot on your calendar.

  4. Proposal Sent: A formal project proposal or contract has been delivered.

  5. Closed Won / Closed Lost: The deal is finalized.

With this setup, your sales team can move opportunity cards as deals progress, and the pipeline’s total value updates automatically.

Phase 5: Building a Simple Lead Capture Funnel

Once your database and pipeline stages are ready, you’ll want to start capturing new leads. Go to Sites, then Funnels, and click Create New Funnel to build a simple page.

+-------------------------------------------------------+

| LANDING PAGE |

| [ Headline explaining your core offer / hook ] |

| [ Explanatory Video or Testimonials ] |

| [ Native Lead Capture Form (Name, Email, Phone) ] |

| - Display GoHighLevel Booking Calendar |

+-------------------------------------------------------+

1. Build the Form First

Go to the Form Builder, add fields for Name, Email, and Phone Number, then save your form. Keep it simple—asking for too much information at first can lower your conversion rate.

2. Design the Opt-In Page

Create a new funnel page using GHL’s dragCreate a new funnel page with GHL’s drag-and-drop editor. Add a strong headline, explain your offer, include client reviews or testimonials, and place the lead capture form you made.alendars > Settings and build a calendar. Configure your weekly availability, add 15-minute or 30-minute buffer times between sessions to prevent back-to-back overloads, and connect your Google or Outlook calendar so new appointments sync automatically.

4. Create the Thank You Page

On your funnel’s second step, build a conFor the second step in your funnel, create a confirmation page. Add your booking calendar so leads can quickly schedule a call right after filling out your form, while they’re still interested.flows

Bringing your landing pages and contact database together is a good first step, but GHL’s real power is in its automation. Use the Workflow Builder to set up these two key automation sequences:

Automation 1: The Fast-Response Nurture Sequence

This sequence triggers immediately when a prospect submits a lead capture form.

[Trigger: Form Submitted]

|

v

[Action: Create Opportunity in Pipeline] ---> [Action: Assign Lead Owner]

|

v

[Action: Send Instant SMS Offer]

|

v

[Action: Send Immediate Welcome Email]

|

v

[Action: Wait 24 Hours]

|

v

[Action: Send Follow-Up Scheduling Reminder]

  • Trigger: Form Submitted (specify the form you built).

  • Action 1: Create Opportunity. This places a card in the “New Lead” stage of your pipeline automatically.

  • Action 2: Assign User. Automatically routes the contact to a designated sales representative.

  • Action 3: Send SMS. Sends a short, conversational text:

“Hi {{contact.first_name}}, thanks for requesting our guide! Do you have a couple of minutes for a quick chat today?”

  • Action 4: Send Email. Delivers the lead magnet or confirms their inquiry.

  • Action 5: Wait Step (Set to 1 Day).

  • Action 6: Conditional Branch. Check if they have booked a call. If they haven’t, send a follow-up email with your booking calendar link. If they have, end the sequence so they don’t receive unnecessary reminders.

Automation 2: The Appointment Reminder Sequence

This automation helps prevent missed meetings and gets leads ready for your call.

  • Trigger: Appointment Status (Confirmed).

  • Action 1 (Immediate): Send a booking confirmation email with the meeting details, calendar link, and calendar invite.

  • Action 2 (24 Hours Before): Send an SMS and email reminder:

“Hey {{contact.first_name}}, just a quick heads-up that we are scheduled to connect tomorrow at {{appointment.start_time}}.”

  • Action 3 (2 Hours Before): Send a final SMS reminder containing the direct video meeting or conference link.

Phase 7: Tracking and Maintaining Your System

After your setup is live, create a simple routine to keep things running well. Spend about 15 minutes each week checking these important areas: the Conversations tab to respond to direct SMS replies, social DMs, or emails that require a manual touch.

  • Pipeline Cleanliness: Review your pipeline regularly and move deals to the appropriate stages to keep your reports accurate.

  • Check Workflow Statuses: If an automation isn’t triggering, check the contact’s history. Turn on “Allow Multiple” in the workflow settings if you want contacts to go through the same sequence more than once. Have a solid, scalable framework to predictably capture and convert leads.
